We are an in-office company, and our expectation is that full-time employees primarily work from their Applied Intuition office 5 days a week. However, we also recognize the importance of flexibility and trust our employees to manage their schedules responsibly. This may include occasional remote work, starting the day with morning meetings from home before heading to the office, or leaving earlier when needed to accommodate family commitments. This in-office expectation does not apply to contractor positions

About the Role

As the Coordinator focusing on PERM Recruitment, you'll run the recruitment stage of each case end to end: posting roles, managing applicants, and keeping records audit-ready. You'll work closely with outside immigration counsel, hiring managers, and our Global Mobility team.

What you'll do

• Coordinate required and additional recruitment for each case, such as internal/external postings, and Notice of Filing postings. Make sure everything runs within the required timeframes.

• Maintain a case tracker covering ad run dates, posting periods, recruitment windows, prevailing wage expiration dates, and filing deadlines. Flag risks early.

• Own applicant intake through our ATS. Log every applicant and send timely acknowledgments.

• Review resumes against the job's minimum requirements as defined in the approved PERM job description. Route potentially qualified U.S. applicants to hiring managers and counsel quickly, and coordinate follow-up contact and interviews.

• Record the lawful, job-related reason for each applicant outcome. Prepare draft recruitment reports for counsel's review.

• Maintain complete recruitment files, including tear sheets, posting screenshots, notices, resumes, and correspondence. Retain them for at least five years after filing, and support audit responses on tight deadlines.

• Serve as the day-to-day contact between counsel, hiring managers, and People Ops. Keep sponsored employees updated on case status without involving them in applicant review.

• Help update internal processes when Department of Labor rules change.

What you'll bring

• 1+ years of experience in immigration (paralegal, law firm, or in-house), HR operations, or recruiting coordination

• Working knowledge of PERM recruitment requirements, or strong interest in learning them quickly

• Exceptional attention to detail and comfort managing many cases with strict deadlines at once

• Clear, professional written communication with attorneys, managers, and employees

• Good judgment with confidential information

• Proficiency with an ATS, spreadsheets or trackers, and an HRIS (Workday a plus)

Nice to have

• Experience with DOL's FLAG system, prevailing wage requests, or PERM audit responses

• Paralegal certificate or immigration-focused coursework

• Experience at a high-volume sponsoring employer
