The Opportunity
We are looking for a Workplace Coordinator to help keep our Miami offices' food and beverage program running smoothly and welcoming for employees. As the office teams and daily needs continue to grow, this person will take ownership of food and beverage inventory, deliveries, and restocking, ensuring the kitchens stay organized and fully supplied.
This is a hands-on role for someone who enjoys staying active, tracking details, and reliably handling behind-the-scenes work. This is not a ‘sit at your desk all day’ kind of role. You will help create a consistent, well-stocked kitchen experience across our offices and support the day-to-day workplace operations that make the office work for everyone.

How You Will Make a Difference Day to Day:

    Inventory & Stock Management

    • Directly oversee high-volume food, beverage, and kitchen stock, performing rigorous inventory tracking across all Miami office facilities.

    • Execute daily restocking routines to ensure breakrooms, kitchens, and beverage stations remain fully supplied.

    • Monitor stock consumption patterns to prevent shortages and minimize waste.

    • Maintain clean, organized storage facilities, walk-in pantries, and supply cabinets according to workplace standards.

    • Vendor & Delivery Coordination

      • Receive, unpack, and verify vendor deliveries and order fulfillments.

      • Inspect delivered stock against purchase orders, identifying and resolving discrepancies or quality issues promptly.

      • Coordinate delivery schedules with suppliers to minimize disruption to office workflows.

      • Equipment Maintenance & Care

        • Maintain kitchen and breakroom equipment, including espresso/coffee machines, ice coolers, and water dispensers, in optimal working condition.

        • Perform regular sanitation, cleaning, and basic user maintenance on beverage equipment.

        • Take ownership of equipment upkeep by reporting technical issues and coordinating necessary repairs or service calls with external service vendors.

        • Facility & Workplace Support

          • Partner directly with the Head of Workplace to ensure communal spaces across office facilities remain presentable, safe, and efficient.

          • Conduct periodic walk-throughs of office communal areas to ensure clean and orderly kitchen environments.

          • Support general workplace operations and assist with catering setup for major team events or internal meetings as needed.

Qualifications & Requirements:

    Physical Capabilities

    • Comfort and ability to operate in a physically active role involving frequent lifting and carrying of food and beverage cases.

    • Physical Requirement: Must be able to regularly lift, move, and transport heavy food and beverage cases weighing up to 50 lbs throughout the day.

    • Capacity to remain on your feet, move continuously, and repeatedly stock items across multiple floors and kitchens throughout the workday.

    • Professional Competencies

      • Organizational Skills: Strong organizational skills with proven ability to track inventory accurately, monitor stock levels, and maintain neat work spaces.

      • Self-Direction & Ownership: A self-directed worker who takes ownership, uses good judgment, and manages tasks without requiring constant supervision.

      • Dependable Follow-Through: Reliable execution and ability to manage recurring daily and weekly duties across multiple kitchens in multiple offices.

      • Problem-Solving & Communication: Clear verbal communication skills and sound judgment when escalating facility or equipment issues.

      • Work Environment & Physical Demands

        • Location & Attendance: Strictly 100% on-site presence required at our Coral Gables & Coconut Grove office locations (no remote or hybrid option available).

        • Activity & Physical Demands: Physically demanding role requiring frequent heavy lifting (up to 50 lbs), bending, stretching, and continuous walking across multiple floors to handle heavy F&B inventory.

        • Schedule: Standard full-time schedule, aligned with primary office operating hours.
